What is Switchbooks?
Switchbooks is AI bookkeeping software for small business owners. Its tagline is "Bookkeeping, simplified," and that is the whole idea. You connect your bank accounts, and an AI agent does the bookkeeping for you. Your books stay current, your reports are always ready, and you spend your time running the business instead of categorizing transactions.
I built it after years of running Ledge Accounting, a bookkeeping firm that manages the books for hundreds of small businesses. Every day my team fought with QuickBooks: the pricing tiers, the clutter, and the sheer amount of manual work it takes to keep a small company's books clean. Switchbooks is the product I wished we had. You can read more about that on the about page.
How the AI bookkeeping works
Switchbooks connects to your bank accounts and credit cards through Plaid, so transactions sync automatically in real time. As they come in, the AI agent reads each one, categorizes it against your chart of accounts, and learns your patterns. Once it is confident, it posts transactions on its own. You only review the ones that need a human decision.
Underneath the agent is a rules engine. Rules run automatically whenever new transactions arrive, and the agent proposes new rules as it notices recurring vendors, so the system gets more hands-off the longer you use it. You can also talk to the agent in plain English. Ask "how much did I spend on software last month" or "categorize everything from Amazon as office supplies" and it does the work from your own books. The full list is on the features page, including custom charts of accounts, class and location reporting, and proper double-entry bookkeeping behind it all.
Reports that are always ready
Because the books are kept current continuously, your financial statements are never stale. Switchbooks generates a profit and loss statement, balance sheet, and cash flow statement on demand, plus a snapshot and forecast view. Every number drills down to the underlying transactions, and every report exports to Excel or CSV. You can also create a shared report link and send it to a partner, lender, or accountant, so they see live numbers without needing a login.
Consolidating multiple companies
This is the feature I am proudest of. If you own or manage more than one company, combining their financials is usually a spreadsheet project: export each set of books, line up the accounts, paste, and hope nothing shifted. Switchbooks makes it a click. Its multi-company consolidation lets you pick which companies to include and instantly see combined totals, or view each company side by side in its own column.
The books stay separate. Each company keeps its own accounts and transactions, and the reporting comes together on top. Consolidation works across the profit and loss, balance sheet, cash flow, snapshot, and forecast reports. You can save a reporting group, so a holding company, a multi-location operator, or a fractional CFO can reopen the same combined view every month. Drilldown and Excel export work on the consolidated numbers too. Consolidation is included at no extra charge. It is combined reporting rather than statutory consolidation, so intercompany eliminations and currency translation are not part of it today.
Moving from QuickBooks
Switching accounting software used to mean losing history or spending days re-entering it. The QuickBooks migration is a guided three-step process: export your chart of accounts and payees from QuickBooks Online, upload the files, and review the result. Switchbooks maps your accounts, transaction history, payees, and starting balances to match your QuickBooks structure. It takes about five minutes. Coming from Xero, FreshBooks, or Wave works the same way through CSV or Excel exports, and if you have no history to bring, you can simply connect your bank and start fresh.
For accountants and bookkeeping firms
Switchbooks is built as much for the professionals who keep books as for the owners who need them. The accountants page describes the firm workflow: invite your whole team with firm-level access, control which staff see which clients, and work across many client companies from one place. Reports export in formats that drop straight into tax software, and the AI categorization learns from your corrections, which cuts the monthly cleanup that eats a firm's margin. My own firm runs its clients on it.
Pricing
There is one plan. Every feature. $25 per month per company, with unlimited transactions, the AI agent, rules, all reports, bank sync, QuickBooks migration, and consolidation included. There are no tiers, no add-ons, and no surprises, which is a deliberate contrast to QuickBooks, where the same capabilities are spread across plans that run from $30 to $200 a month. Every company starts with a free ten-day trial, and no credit card is needed to begin.
Security and support
Financial data deserves a plain answer on security, so the security page spells it out: company-scoped access enforced by database row-level security, bank connections through Plaid Link with tokens stored in a vault rather than the application database, and billing handled by Stripe. If you get stuck or have a bookkeeping question, the community has tutorials and a public Q&A where I answer questions myself.
Who it is for
Switchbooks fits business owners who want clean books without learning accounting software, freelancers and solopreneurs who have been putting off bookkeeping, owners of several companies who want one view of the whole group, and accountants, CPAs, and controllers who manage books for many clients.
